Inside Inventory

Every item, every location, one system.

Inventory is where your stock stops being a guess. Instead of spreadsheets and shelf-checks, you track your catalog, levels, purchasing, and movement from one live system — every warehouse, truck, and bin accounted for.

Below, we walk through each section of the module — starting with the guided Setup, the one-time wizard everything else unlocks from.

Overview

One live command center for everything you hold.

Setup

Set up once, run everything.

Guided, resumable, and safe to re-run — walk from business type to team access in one pass, and every Inventory feature unlocks.

01

Business type

Pick how you operate

Distribution, light assembly, or manufacturing — the closest fit tailors which capabilities show (Buy / Make) and sets sensible defaults.

  • Tailors Buy / Make capabilities
  • Change it anytime in Settings
  • Never changes permissions
02

Main location

Start with your main site

Pick the site you're setting up, then choose how you run it — design the full warehouse layout, or skip it and go flat for speed.

  • Add sites as you grow
  • Design the warehouse — or skip it
  • Re-running only applies changes
03

Material categories

Organise the catalog

Group items into categories and sub-categories so browsing, placement, and reporting all line up from day one.

  • One level of nesting supported
  • Items can skip categories for now
  • Placement & reporting line up
04

Inventory database

Build your item catalog

Import a spreadsheet, walk the shelves scanning barcodes, or key items in by hand — mix all three paths, now or later.

  • CSV or Excel — no template required
  • Scan to add, prefilled for you
  • Quantities & category mapping next
05

Accounting & policies

Books that balance themselves

Every value-bearing movement posts a balanced voucher. The GL defaults work out of the box — override only if your chart demands it.

  • GL account mapping with safe defaults
  • Accounts auto-created on first posting
  • Shrinkage & GRNI handled for you
06

Invite & assign

Grant writes per role

Inventory permissions default to read-only — flip on receive, dispatch, and adjust per role with the cheat sheet as your guide.

  • Warehouse clerk & manager presets
  • Grants match the permission tree
  • Invite people from Company settings
07

Finish

Done — Inventory unlocks

Finish the one-time setup and everything opens up — items, stock, purchasing, builds, and transfers. Progress saves as you go.

  • Guided, resumable, safe to re-run
  • It only applies what you change

Movement

Movement ledger, stock adjustments, in-transit transfers, custody and lot/serial trace.

Movement ledgerPer-item movement ledger with a running balance.
AdjustmentsStock adjustment history by reason code; rollup collapses to one row per reason with qty, value impact and share of total.
In-transitTransfer legs still in transit between sites. The Sites filter matches transfers touching a selected site on either leg.
CustodyDispatches and transfers pending acceptance, aged — transfers by destination site, dispatches by the source location of their lines.
Lot / serial traceForward and backward genealogy for a lot or serial. Never location-filtered — a partial genealogy would mislead in a recall.
Movement summaryPeriod roll-up per item: opening balance before the window, in / out during it, and closing = opening + in − out. Trailing 30 days.
ConsumptionDemand by item over the trailing window: quantity pulled and consumed in builds, average per day and last consumption date.

Low stockItems at or below reorder point with a suggested order qty. Rows are per site — a location filter keeps the sites owning the selected locations.
Open purchase ordersOpen purchase-order lines with outstanding qty. PO lines carry no destination location, so this report has no location dimension.
Run-out forecastProjected stock-out dates from consumption velocity. Available stock and demand are measured within the selected locations; incoming PO supply stays company-wide.
Planning cockpitReplenishment by item and site: on-hand / committed / available vs reorder point, reorder qty and max level, with open-PO supply. Flags reorder and overstock.

COGS & marginRevenue, COGS and margin by product over the period. The location filter applies to the COGS side only (dispatch location) — revenue carries no location.
Sales velocityUnits sold, revenue, units/day and days of cover vs current on-hand per item over the window. Company-level: order revenue carries no location.
Sell-throughSold / (opening + received) per item over the window. Opening is a ledger replay before the window; sold is order-linked dispatch pulls.

Inventory Settings

Workspace-wide rules for how stock is valued, moved and posted. Each card saves on its own.

FoundationBusiness model, valuation basis and the order lots get consumed in.
Business typeCustom

Presets the capabilities and defaults for how this workspace uses inventory. Changing it rewrites a few settings; it never grants permissions — use the checklist to set roles.

Costing method

The costing basis seeded onto NEW items. Existing items keep their own basis; each item can be switched on its detail page until its first stock movement freezes it.

Default for new items

Average · Moving weighted average

Average is a moving weighted average; FIFO values issues from the oldest layer first.

Save costing method
Lots & FEFO

Lot-tracked items are always suggested first-expired-first-out. Expiring lots also ride the low-stock digest.

Enforce FEFOOff (recommended): picking a later-expiring lot shows a warning. On: non-FEFO lot picks are blocked.

Stock policies

Valuation is moving weighted average. These policies govern issuing, adjustments and item numbering.

Negative stock

Block (recommended)Refuse any issue or adjustment that would take on-hand below zero.WarnAllow going below zero (issued at current average cost) and flag it on reports.

Force scanning

ReceivingRequire a barcode scan for every received line (no manual pick).Pulls & dispatchesRequire a barcode scan for every issued line.

Acceptance policy

How internal receivers prove they took custody of dispatched stock. External receivers always sign on glass — that ceremony is not configurable.

Default method for internal receivers

Tap to accept (default)The receiver confirms from their own logged-in session.Personal PINThe receiver keys their 4–6 digit PIN on the dispatcher's device.One-time codeA 6-digit code is emailed/pushed to the receiver and expires in 10 minutes.

Method floors by dispatch value

Above these values a stronger method is required, whatever the default. Leave a field empty to never require that method.
